Roof Top Tent Rentals Terms & Conditions
These Terms and Conditions (T&C) are the terms and conditions of service for:
Vancouver Island Roof Top Tents legally incorporated under FarOut Wilderness Limited, a limited company registered in Canada and with its registered office at 6664 Rhodonite Drive, Sooke, V9Z 0L5, Canada (“VIRTT”).
Reservation Deposit and Payment
To confirm a booking VIRTT requires a 50% reservation deposit if over 7 days from the rental period. This deposit will be credited towards the balance when the Tent is picked up. VIRTT reserves the right to release the reservation if no deposit is received within three days of the deposit being requested by VIRTT.
The maximum rental period is 30 days. The balance of payment is due seven days prior to collection of the vehicle. If the booking is made less than seven days in advance the full payment will be required for the reservation to be secured.
Cancellation Fees
No cancellation fee applies up to 45 days prior to the pick-up date, a full refund of the reservation deposit will be made, less any processing fees and bank charges. Cancellations within 45 days of pick-up will be charged 50 percent of the reservation deposit. Cancellations within 21 days will be charged 100 percent of the reservation deposit. If cancelled within 7 days of pick-up or the Renter is a no show, then 100% of the rental cost will apply. No refunds can be given for early returns. All cancellations must be submitted in writing to explore@vancouverislandrooftoptents.ca. VIRTT reserves the right to cancel a reservation at its own discretion.
Damage deposit
The standard damage deposit is $250. This will be held on your credit card for the duration of the rental and will only be released upon the return of the Roof Top Tent in the same condition. The damage deposit will not be returned if the Roof Top Tent is returned damaged in any way or the equipment comes back damaged more than what would be considered reasonable wear and tear. VIRTT reserves the right to determine reasonable wear and tear. Damage to the Roof Top Tent caused by but not limited to howsoever caused includes; vandalism, theft, fire, animals either pet or wild, negligence of either driver, passenger or third party, external events, flood, unsafe practices, unsafe driving.
Pick-up/Drop-off
Rental period is per calendar day. The Roof Top Tent will be installed free of charge. The vehicle the tent will be installed on must have the agreed upon and required roof bars. Failure for the vehicle to be ready may void the booking with no refund. There is a $50 charge per hour, or part thereof that the Roof Top Tent is late to be returned. No refunds are provided for late pick-ups or early drop-offs.
Hire Period and Extensions to Rental
The renter may only use the Roof Top Tent for the duration of the rental period. If the renter wishes to extend the rental, the request must be made via telephone or email at least 24 hours in advance. If VIRTT consents the extension the return date shall be extended and the additional rental fee must be paid for immediately via credit card or Canadian debit card if the hire has already started. If the extension is not consented to, then the Roof Top Tent must be returned as per the signed rental agreement.
Daily Rates/Currency Exchange Rate
All transactions are conducted in Canadian Dollars, in the case of refunds exchange rate fluctuations will be borne by the renter and is not the responsibility of VIRTT.
Taxes & Fees
GST (Goods and Services Tax) and associated PST (Provincial Sales Tax) will be applied to your rental.
Incident
In the case of an incident please contact VIRTT as soon as safely possible.
Cleaning, Maintenance, Repairs & Responsibility
Do NOT try to repair or maintain the Roof Top Tent during the rental, if you do, you may be liable for the full cost of a NEW Roof Top Tent. If it transpires that the Roof Top Tent has been returned excessively dirty or damaged the renter will be charged for any additional professional cleaning, detailing or repairs as outlined in the rental agreement that is to be signed at the time of rental. A cleaning fee of $50 will be charged to cover a Roof Top Tent deep clean.
Animals
We encourage you to travel with your four-legged friends, but they are not allowed in our roof-top tents. If it is determined that a pet has been in the tent, VIRTT reserves the right to charge a $200 penalty fee to cover professional cleaning of the equipment. The renter, through the signing of the rental agreement, authorizes VIRTT to charge this penalty fee to the credit card used to pay for the rental.
Smoking
Is strictly prohibited in the tent, this includes cigarettes, cigars, e-cigarettes, vaping and the use of marijuana. If it is determined that anyone has smoked in the tent VIRTT reserves the right to charge a $200 penalty fee to cover professional cleaning of the equipment. The renter, through the signing of the rental agreement, authorizes VIRTT to charge this penalty fee to the credit card used to pay for the rental.
Equipment Use & Maintenance
At the time of pick-up, the Renter will be briefed on how to use all of the equipment. If the driver proceeds with the rental it is agreed that they understand how to operate the Roof Top Tent everything and are responsible for any damages. Failure to return all pieces of gear and equipment in working condition will result in charged at the agreed upon rates.
It is expected that the driver will take all precautions necessary in order to prevent damage to the Roof Top Tent in times of heavy rainfall and other types of storms. The tents must be dried out after heavy rainfall and cannot be closed wet for long periods of time.
